Legal Administrative Assistant – Permanent – 17634About the OpportunityOur client is a small law firm located in downtown Ottawa. They are looking for an experienced assistant to join their team on a full-time, permanent basis.
Duties include but are not limited to:
- Monitor the general phone mailbox (remotely); when in the office provide front reception desk duties (greet visitors and sign for couriers)
- Managing lawyer email inbox and calendars and reply from dictations provided
- Drafting and distributing memos and correspondence
- Daily business development emails to lawyers/clients
- Mail and courier duties as required
- Booking appointments, setting up conference calls, monitoring email inbox and responding as required, and e-filing emails
- Interacting with clients, lawyers, and other staff members
- Entering and monitoring lawyers’ Continuing Professional Development (CPD) hours
- Handling sensitive client information
- Set up boardroom for meetings (including setting up audio/visual and conference calls)
- Photocopying/scanning and other admin tasks as required
- Personal assistant duties such as booking appointments, making meal reservations or copying, mailing and tracking medical expense claims
- Other duties may be assigned or amended as required
About YouThe successful candidate will have the following:
- Postsecondary education in legal administration, office administration, office technology or an equivalent combination of education and work experience
- 4+ years of legal support experience is preferred
- Highly organized; takes initiative and proactive
- Any experience working in a litigation practice would be considered a definite asset
- Demonstrated ability to work in a confidential manner
- High proficiency in Microsoft Office & Adobe
- Strong ability to multi-task
- Accurate, detail-oriented, and efficient
- Ability to work both independently and collaboratively as part of a team
- A solid ability to prioritize a large workload
- Ability to maintain a high level of confidentiality when interacting with clients
- Strong oral and written communication skills. This role is English essential, but French language skills would be an asset
