Job Description:

DESCRIPTION: The primary responsibilities include providing reception, administration, and data entry support to one or more Staff Legal offices.

GENERAL ACCOUNTABILITIES:

  • Provide telephone coverage and ensure calls are handled in a timely manner following established procedures. Greet clients and visitors in a courteous and professional manner.

  • Other reception duties include handling incoming and outgoing couriers, sorting of incoming faxes, sorting mail and delivery

  • Input and maintain data in litigation databases. Create files following established procedures, validate and update information as requested (i.e. closing files, etc.) and obtain missing information from appropriate sources, i.e. Claims electronic systems, legal department systems, etc.

  • Create and maintains physical files; sorts, codes, re-files and retrieves files/materials; may maintain records in conjunction with filing.

  • Prepare office documents, reports, correspondence, spreadsheets and/or forms

  • Photocopy office materials; collate and distribute photocopied materials.

  • Proofread documents for typographical errors

  • Responds to inquiries and provides information to outside sources as requested.

  • Perform other clerical support duties as requested.

SKILLS AND CRITICAL COMPETENCIES:

  • You have a secondary school diploma.

  • You have a minimum of six months to one year experience in an office environment.

  • You have strong computer skills and MS Office

  • You are able to work in a fast paced office environment

  • You can juggle multiple tasks simultaneously

  • You are able to organize and prioritize daily tasks

  • You maintain a high level of confidentiality

  • You are customer service oriented
