Job description
Dalhousie’s Faculty of Medicine teaches scientific excellence and humanity in medicine and trains doctors to be accomplished clinicians, compassionate caregivers, good communicators, and balanced individuals. The department of Pathology offers Masters, PhD and Residency training programs. Reporting to the Department Administrator and working with the Diagnostic and Clinical Pathology (DCP) Program Directors, the Program Administrator is the primary contact/resource for the DCP Program’s postgraduate residency.
Key Responsibilities
- Work closely with the Program Director to organize and coordinate resident schedules, evaluations, and maintain resident records. Maintain confidential and complete resident record of training files via both electronic and paper-based systems.
- Communicate with various rotation supervisors regarding residents scheduled for rotation blocks. Assist with the creation and modification of annual resident rotation schedules and assist in coordination of any electives.
- Maintain One45, send out evaluation forms to residents and follow up on outstanding evaluations on a regular basis. Run annual reports on Preceptor evaluation, Rotation evaluation, and AHD session presenter evaluation.
- Schedule & coordinate written and oral in-house examinations for residents. Ensure key deadlines (assessment of training, application for examination) are met for residents taking Royal College exams.
- Maintain and update the Canadian Accreditation Management System (CanAMS) records for preparation of external review and/or accreditation of the residency programs. Liaise with PGME and the Royal College of Physicians and Surgeons to keep aware of any changes to accreditation standards, process and procedures.
- Organize and support all CaRMS interviews for prospective residents. Work with the program directors to advertise vacant residency positions. Arrange and provide administrative assistance to the DCP Residency Program Committee, Competency Committee and any necessary sub-committees.
NoteDue to operational requirements, the successful applicant is required to work in-person on campus.Required Qualifications
- Business/administrative professional diploma with three to five years’ experience at a senior administrative level (or an equivalent combination of training an experience).
- Demonstrated ability to work in a high-profile confidential environment.
- Minute taking experience.
- Excellent communication and interpersonal skills.
- Demonstrated ability to handle multiple priorities.
Assets
- Experience working in a large, complex environment such as a post secondary, government, or hospital environment
- Experience using One45
- Ability to work independently
- Attention to detail
