Our reputable client in the real estate sector is seeking an Executive Assistant to join their team!In this role, the Executive Assistant will offer both administrative and strategic support to the Senior Vice President of Brand & Culture and the Senior Vice President of General Counsel & Corporate Secretary. This position will be a key partner within the business, involving a wide range of responsibilities such as organizing, coordinating, planning, and collaborating. The ideal candidate will demonstrate forward-thinking, professionalism, confidentiality, discretion, and strong judgment.This role is a 12- month contract based out of their downtown Toronto office and is 100% onsite.KEY RESPONSIBILITIES:

  • Proactively identify needs and anticipate solutions before they arise.
  • Manage all aspects of meeting coordination, including preparing agendas, presentations, and minutes to ensure seamless facilitation.
  • Draft and prepare various types of correspondence, presentations, and documents.
  • Oversee travel arrangements as required.
  • Champion the use of technology, leveraging available tools to enhance efficiency and streamline processes.
  • Process invoices and expense reports in alignment with accounting procedures.
  • Support the annual budgeting process, including monthly reports, quarterly accruals, and e-billing system application.
  • Create and maintain organized electronic filing systems.
  • Serve as a primary point of contact for both internal and external stakeholders, including board members, senior executives, and employees.
  • Foster strong working relationships with fellow Executive Assistants and colleagues across the organization.
  • Take on additional duties as assigned, such as assisting with special projects and transactions. Proactively contribute ideas to improve processes and create efficiencies.

QUALIFICATIONS:

  • A post-secondary degree with 5+ years of experience in a senior administrative capacity, ideally within a corporate setting.
  • Experience in a publicly traded company and familiarity with board interactions is a significant advantage.
  • Expertise in MS Excel, PowerPoint, Word, and Outlook at an advanced level.
  • Strong communication and interpersonal skills to work effectively with all levels within and outside the organization.
  • Professional demeanor, confidence, excellent organizational abilities, and initiative.
  • Proactive, self-motivated, and resourceful with a “can-do” attitude, always anticipating the needs of executives and providing solutions.
  • Exceptional attention to detail and time management skills, with the ability to manage multiple tasks efficiently in a dynamic, fast-paced environment.
