We have a strong in-office culture that we believe promotes collaboration.Executive Assistant Role OverviewThe Corporate Development and Strategy team is a high-performing, fast paced environment with frequent interactions with a broad set of stakeholders across our Group of Companies and external advisors. As an Executive Assistant, you would be responsible for supporting several executives, coordinating administrative activities for the team, driving organizing team events/activities, and supporting other team members on the Strategy & Corporate Development team. To be successful in this role, you must have the proven ability to build and maintain effective relationships with both internal and external stakeholders at various levels of the organization, and you thrive in a fast-paced work environment where strong attention to detail is required.Responsibilities
- Manage all general administrative support for the VPs, Directors and the broader team, including scheduling meetings, managing multiple calendars, responding to general inquiries, arranging travel, ordering supplies, and expense reporting.
- Apply care in handling confidential project information
- Support project delivery by organizing meetings, including with external parties, and coordinating all the logistics details to ensure it is successful (e.g., sending materials in advance, arranging for day passes, ordering meals, etc.)
- Assist in planning and coordinating activities and events for the team, including offsite meetings, teambuilding events, etc.
- Maintain Corporate Development’s digital filing systems – focusing on labeling accuracy, file tracking and efficient retrieval, as well as manage databases for projects, investments and other proprietary information
- Maintain positive working relationships across George Weston Limited, our operating businesses (Loblaw Companies Limited, Weston Foods, Choice Properties), and with external business partners
- Depending on the Candidate, their background and personal aspirations, the role can also extend into supporting delivering insights to the team, such as conducting industry research and analysis (e.g. compiling and synthesizing reports and sharing summary findings)
Qualifications:
- Strong proficiency with Microsoft Office – Word, PowerPoint, Outlook (Excel a plus)
- 3-4+ years of relevant administrative experience (deadline-driven corporate environment supporting senior leaders, multiple team members and projects)
- Excellent interpersonal skills and communication skills (written and verbal)
- Self-motivated and able to work under minimal supervision; proactive and can anticipate issues
- Willingness to learn
- Resourceful and adaptable; ability to thrive in a variety of situations
- Enthusiastic and approachable
- Bachelor’s degree, relevant professional certification, or diploma in a relevant field considered a plus
- Ability to work in Canada

- Strong organizational skills to simultaneously manage multiple projects, tasks and requests, coordinate meetings, etc.

- Some flexibility to occasionally be available outside of normal work hours or to travel to the other offices within the GTA to provide support on key meetings or urgent matters, as needed
