They will work in co-operation and consultation with the Director of Property Management, Property Managers, and Strategic Operations Sustainability team to sustain and ensure the efficient delivery of all property operational programs and ensure that the integrity of the asset(s) is maintained.Responsibilities:

  • Supervision and management of Operation Leads & Building Operators as assigned. Co-ordinate the duties and responsibilities of operations staff and provide input relating to the annual performance reviews. Provide ongoing coaching and mentoring for operations team assigned.
  • Support dedicated site operators where needed and provide input to Property Manager for Performance Reviews.
  • Perform one-on-one meetings with direct reports (building operations team)
  • Assign building operations team to service their properties and portfolios including vacation and sick leave coverage.
  • Participate in communication loop of major capital site projects & commissioning of new equipment.
  • Approve overtime in ADP, schedule, vacation management, create/maintain on call schedule, and manage on call center script and database.
  • Coordinate and provide back-up coverage for the team where required.
  • Technical support to Property Managers and Building Operations Teams. Tracking equipment rental use and inventory.
  • In consultation with the Property Manager/Director of Property Management ensure site building conditions and improvements are identified and assist with solutions.
  • Assist building operation teams for any drawing reviews required for tenant improvement or capital work.
  • In consultation with the JHSC, implement, supervise, and maintain a hazardous material program, i.e. WHMIS stations, etc.
  • In consultation with the SOS team, supervise and oversee the implementation and ongoing management of the property preventative maintenance program to ensure the efficient operation of all building equipment and minimize equipment failure.
  • Monitor and review the Tenant Service Call System to address any ongoing problems with the property.
  • Ensure that all tenant service calls are responded to efficiently and in a timely manner.
  • In coordination with corporate operations, maintain and monitor the inventory of all tools and equipment of the flood stations (1-Walkley Road/1-450 March/1-DLC)
  • Maintain proper building operational files and records.
  • Oversight of any regional monitoring programs – recording and benchmarking utility consumption.
  • Recommend and assist in the implementation of regional energy savings initiatives.
  • Control with the admin support team, the preparation of contract specifications for all third-party contracts relating to the regional portfolio – volume-based tendering.
  • Support remote offices, building operations team hardware oversight (phones, tablets, laptops), and support and administration including, but not limited to, Smartsheet, Dropbox, Log Me In if applicable.
  • Manage the field operational transition for new buildings coming under management.
  • Training direct and indirect reports of new operators to CBP, or reallocation of building assignments, and/or new operational procedures.
  • Commission/optimization of new building or retrofitted mechanical systems.
  • Approve monthly expense reports for direct reports.
  • With support from SOS, procurement of uniforms and assignment of vehicles.
  • Management and administration of vehicle GPS Systems.
  • Other duties as required.

Qualifications:

  • Graduate from a post-secondary institution, or equivalent experience and industry related designations, including BES certificate, SMT, SMA, FMA, RPA etc., obtained through BOMI International or other recognized institutions
  • 10 years’ combined office, commercial, and residential real estate property management experience
  • Knowledge and experience in working with office, commercial and residential building mechanical systems including boilers, chillers, cooling towers, rooftop units, refrigeration, pumps, fans, motors, elevators, escalators, air conditioning controls, emergency generators etc.
  • Knowledge and experience in working with office, commercial and residential building electrical systems including high voltage systems, low voltage systems, primary and secondary transformers, HVAC control systems, lighting and power systems, telecommunications systems etc.
  • Knowledge and experience in working with office, commercial and residential building plumbing systems including domestic hot and cold-water systems, heating and hot water tanks, waste systems, all piping heating, chilled water, sprinkler risers, sprinkler distribution, washroom facilities etc.
  • Familiar with local codes, tenancy acts and industry related regulations
  • Ability to communicate effectively and professionally, both oral and written
  • Superior ability to develop and sustain cooperative working relationships with senior management, co-workers, contractors, office, commercial, and residential tenants, and the public
  • Strong management and decision-making skills
  • Ability to allocate one’s time effectively, work under pressure and manage tight deadlines
  • Ability to handle multiple demands and competing priorities in an office, commercial and residential property
  • Ability to adapt to new ideas and constant changes
  • Ability to work independently and as a team player with minimal supervision
  • Good working knowledge of Microsoft Word and Excel
  • Self-motivated and detail oriented
  • Bilingual (English/French) is an asset
