Oxford University Department for Continuing Education (OUDCE) is seeking to appoint a Courses Administrator at the Language Centre to help us manage the delivery of our language courses, in a both student-facing and staff-facing capacity.

About the role

The Courses Administrator will act as a member of a team of four Courses administrators, reporting directly to the Course Manager, and working collaboratively with the senior management team and the language tutors, taking responsibility for ensuring the smooth operation of Language Centre courses.

All members of the admin team are first points of contact for applicants, learners, colleges, academic divisions and departments with queries regarding our timetable and course offerings. The course administrators support the creation of the timetable and class registers; undertake day-to-day financial administration and undertake office administration duties. They also staff reception on a rota and provide basic help to tutors with AV/IT, especially in the classrooms.

This is a full-time position, available on a fixed-term contract and available as a secondment opportunity. It is a predominantly office-based role with fixed hours of 09:00-17:20, due to the customer-facing duties and the need to work collaboratively with other members of the team and department. There is some scope for flexible and home working, particularly outside of term, in discussion with and agreement from the Course Manager.

The Language Centre teaches on bank holidays during term time (generally the two bank holidays in May) so these are core contractual hours. Additional days for the same amount of leave will be given to compensate.

About you

You will be educated to at least A-Level standard. You will have significant customer-service, and administrative experience, with strong oral and written communication skills. You will demonstrate a keen eye for detail with a high level of numeracy, and equally keen problem-solving skills.
