This represents the first time UBC’s largest Faculties have collaborated to offer a course of study spanning three key areas of Science, Medicine and Psychology.The Academic Advisor and Program Coordinator for the Neuroscience program will advise students on a broad range of topics including admissions, course planning, program requirements, career planning, study abroad, awards, and personal matters that may affect the students’ academic progress, success and retention from point of entry to graduation. The incumbent will also manage certain administrative and operational aspects of the program. This role will interact with students, faculty, and administrative staff to ensure the smooth operation and continuous improvement of the undergraduate program.Organizational Status
Reports to the Program Manager and Academic Advisor of the Undergraduate Program in Neuroscience. Takes additional direction from the Director of the Undergraduate Program in Neuroscience and interacts with department advisors, students, faculty, staff, and the general public. Liaises with Faculty Advising Offices, Enrolment Services, and other UBC departments, as well as external agencies as required.Work PerformedStudent AdvisingProvide comprehensive guidance to current and prospective students on curricula, including the selection of required and elective courses, degree requirements, and career plans. This involves interpreting and analyzing students’ ideas and goals, integrating diverse academic and career information, and applying an in-depth understanding of neuroscience topics and complex academic requirements.Advise students on Neuroscience program requirements, which involves interpreting academic policies, offering best and tailored recommendations, and addressing unique student needs to ensure successful academic planning and progression.Provide detailed advice to students on potential graduate programs, assessing their academic performance, personal interests, and career goals to recommend suitable options.Provide program-specific career coaching to students by exploring potential career options based on their academic background, skills, and personal interests. Offer guidance on the necessary steps, including skill development, networking strategies, and additional qualifications, to help students prepare for and achieve their long-term career goals.Provide expert advice to students on study abroad and exchange opportunities, including program options and potential academic and career benefits, ensuring that opportunities align with their academic goals.Investigate and resolve complex student program issues by thoroughly analyzing academic records and policies, interpreting student goals, and providing clear, tailored guidance to students to help them reach those goals while also fulfilling program requirements and meeting academic progress requirements toward graduation.Review and adjudicate student applications for graduation by thoroughly evaluating academic records, ensuring compliance with program requirements, and resolving issues or discrepancies related to coursework, transfer credits, or degree eligibility.Oversee and manage the admissions process for students seeking to switch specializations within the BSc degree, including evaluating applications, assessing eligibility based on academic performance and program requirements, and providing clear advice on next steps.Assess and adjudicate student requests for academic concessions and appeals within the program, carefully considering individual circumstances, program policies, and institutional guidelines. Provide clear and thoughtful advice to students, outlining decisions and actionable next steps, while ensuring fairness, consistency, and alignment with academic standards.Identify students at academic risk and provide proactive advising support to ensure their success. Where necessary, reports to the University’s Early Alert System for students.Coordinate with campus resources to provide comprehensive support services to students (e.g., counselling, health services, accessibility services).Provide guidance and interpretation on university policies and procedures.Participate at university-wide and national advising conferences and initiatives.Participate in interdisciplinary educational networks at UBC and nationally.Service to Undergraduate ProgramRepresent the program at information fairs and in meetings with individual prospective students and their families.Manage the program’s online presence, including updating the website and social media platforms.Develop and prepare statistical information and reports related to student issues. Anticipate student demand for courses and communicate student needs.Participate in the course scheduling and timetabling process.Collaborate with and mentor student organizations to support their initiatives and activities.Organize and deliver events for students, such as orientation sessions and workshops.Provide oversight and guidance for program committees, including the Curriculum Committee, and Equity Diversity and Inclusion Committee, by leveraging insights gained through student advising. Ensure that committee decisions and initiatives align with the academic needs, aspirations, and diverse perspectives of students while fostering inclusive and effective program development and implementation.Manage the recruitment, appointment, and trainings of Teaching Assistants for the Program.Develop program-specific Teaching Assistant policies and procedures and maintain related documentation.Consequence of Error/Judgement
Errors in judgment, analysis, or implementation could result in the failure to meet program objectives and adversely impact students and faculty. The position must be able to foresee and mitigate potential problems before they occur. Interactions with both faculty and students must be clear and information disseminated must be accurate. Poor planning, organization, and lack of judgment could negatively impact the Neuroscience Program, the Faculties of Arts, Science, and Medicine, and UBC in general.Supervision Received
Works independently under the general direction of the Neuroscience Program Manager and Academic Advisor. Additional direction from the Director of the Undergraduate Program in Neuroscience. Work is reviewed for overall effectiveness and achievement of program objectives.Supervision Given
May supervise undergraduate student assistants and provide direction to student employees (Work Learn) and staff, and as needed.Minimum QualificationsUndergraduate degree in a relevant discipline.Minimum of one to two years of related experience, or an equivalent combination of education and experience.Willingness to respect diverse perspectives, including perspectives in conflict with one’s own.Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion.Preferred QualificationsExcellent interpersonal and communication skills, both written and verbal.Ability to investigate and synthesize complex information and identify the most appropriate solution.Student support experience and/or program coordination experience.Familiarity with university policies and procedures related to education administration.Strong organizational skills and the ability to manage multiple tasks simultaneously.Ability to take initiative, to work independently and as part of a team.Proficiency in using office software applications such as Microsoft Office Suite.Experience with learning management systems and remote communication tools.
