When you join Energy Safety Canada, you are part of a team committed to getting workers home safely every day.What is the opportunity:Reporting to the Manager, the Administrator provides service and support to the Industry and Development Support team (ID&S) in the Calgary and Fort McMurray offices.What will you do:
- Prepare and disseminate ID&S correspondence and other internal business communication; proficient in use of MS Office Suite (Word, PowerPoint, InDesign, and Outlook). Strong technical writing and formatting skills required.
- Attend ID&S committee meetings, take meeting minutes and disseminate information to attendees in a timely and professional manner and track action items for future meetings.
- Direct all ID&S phone calls and safety inbox inquiries appropriately, prepare and distribute mail and couriers, review and evaluate new policies and procedures for departmental operation and administration, order office supplies and business cards as required.
- Responsible for creating and maintaining IDS campaigner messages, IDS sharepoint sites, and ID&S eventbrite sites.
- Responsible for completing admin review (grammar, spelling, formatting) to help ensure quality assurance of ID&S documents before release.
- Responsible for scheduling and collecting the appropriate information for meetings and other activities related to ID&S committee involvement – liaise with facilitators and technical writers assisting working groups.
- Assist with planning special events for the ID&S team and other ESC related events.
- Other duties as required and may include the following: invoicing, onboarding new staff.
What you need to succeed:
- Post-secondary education in Business Administration or related field
- 5+ years’ experience working in an administrative role
- Highly proficient in MS Suite – Outlook, Word, Power Point and Excel; InDesign an asset
- Experience working in database software, specifically a CRM is considered an asset
- Experience with organizing business meetings and multiple groups
- High degree of accuracy and attention to detail
- Exemplary interpersonal skills
- Excellent written communication skills, can provide clear, concise and professional correspondence
- Excellent time management and organizational skills
- Able to handle multiple tasks quickly and accurately
- Dedicated to providing a high quality of service to all stakeholders
- Takes a proactive approach and can anticipate departmental needs and requests in advance
