NAMP is hosted by Northwestern Polytechnic (NWP) in Grande Prairie, AB. NWP and U of A will welcome the first cohort of medical students in Fall 2025.Funded by the Government of Alberta, NAMP is part of a broad provincial strategy to improve healthcare in the North and address physician shortages in underserved areas.Research shows that students who train in rural and regional settings are more likely to practice there after graduation. By educating future physicians in northern Alberta, NAMP aims to improve access to healthcare across the region.Position SummaryUnder the direction and supervision of the Medical Education Expansion Manager, the Assessment Administrator is a member of the Faculty of Medicine & Dentistry, Northern Alberta Medical Program’s administrative team. This position will work with the NAMP Assessment Coordinator and the UA MD program Assessment team at the main U of A Campus.This position is based in Grande Prairie at the Northwestern Polytechnic Health Education Centre, located in the Grande Prairie Regional Hospital.Duties
- Working closely with the assessment specialist, Assistant Dean Assessment, and Assessment Administrators in Edmonton, to oversee day-to-day activities related to the delivery of all NAMP program assessments.
- Provide oversight in onboarding clerkship rotations to ensure continuity of assessments, small group activities and other deliverables (deferred administrations, accommodations, attendance management) and, as new staffing is hired, or as policies and processes are put into place. Additionally, ensure that the recruitment and orientation of standardized patients and examiners (faculty, community-based physicians, and residents) is completed as needed.
- Provides training to NAMP staff supporting exam administration, covering invigilation rules, exam logistics, room setup, assessment software, grade calculation processes, exam material provisioning, and equipment use. Coordinates with the appropriate resources to ensure that accommodations for students are in place as required.
- Administrative support and leadership as it pertains to all aspects of assessment, including but not limited to data entry, communication, scheduling, booking spaces, procurement of supplies and equipment, and remuneration.
- Invigilates pre-clerkship exams and works closely with clinical partners to support the delivery of summative clerkship assessments and oversees remedial, as well as advanced and deferred writing of examinations.
- Ensures students comply with examination protocols for in-person, Zoom, and SEM (Smart Exam Monitor) proctoring and troubleshooting as needed.
- Responsible for generating exams results and reports from exam.med and the program management system (Cally) and in the absence of the Assessment Specialist, will oversee publication of student grades in Cally.
- Provides orientation for students and faculty/physician examiners in preparation for OSCE delivery and ensures digital recording when required.
- Develop and manage all aspects of the NAMP standardized patient program including building, maintaining and training a talent pool of local standardized patients that can be utilized in NAMP programming and assessment and serving as a standardized patient when needed.
- Other administrative duties and general program support as assigned.
Minimum Qualifications
- Post-Secondary Degree in Education or Business Administration required; a combination of education and/or experience will be considered.
- Professional written and oral communication skills.
- Ability to work in an ambiguous environment.
- Strong multi-tasking skills: should have the ability to be flexible and adaptable in a complex environment and possess strong problem-solving skills and decision-making within a larger team.
- Must be able to work independently and in a team environment.
- Possess adept time management and organizational skills, including the ability to prioritize and accurately complete tasks independently.
- Excellent technical skills (computers and other office machines), including aptitude in MS Word, Excel, PowerPoint, Google calendar, Google sites, Google Apps; familiarity with Cally, assess.med, exam.med, and ability to learn new software platforms as necessary.
Preferred Qualifications
- More than 3 years of administrative experience in a health or academic environment is an asset.
- Medical Terminology and the understanding of the basics of health professions education is an asset.
- Event planning experience would be an asset with respect to prioritization of multiple tasks and being able to complete all of them prior to the deadline.
