Your opportunity:

The Faculty of Information currently offers a Bachelor of Information (BI), Master of Information (MI), Master of Museum Studies (MMSt), combined degree’s (CDP) as well as a PhD program. MI Students specialize in Archives and Records Management, Culture and Technology, Critical Information Policy, Human-Centred Data Science Information Systems and Design, Knowledge Management and Information Management, Library and Information Sciences, or User Experience Design.

The Registrarial and Student Services team is the student-facing administrative unit that consists of Recruitment and Admissions, Records and Enrolment, Registrarial Financial and Advising Services. Reporting to the Assistant Dean, Registrarial and Student Services, the Associate Registrar Student Advising and Engagement (“Associate Registrar”), provides counselling and guidance to approximately 1100 undergraduate and graduate students in various programs. The Associate Registrar provides graduate and undergraduate academic advising, for all students by providing options and consequences that incorporate personal circumstances and an understanding of an individual’s background, interpreting academic regulations including program and degree requirements, and advising students on program and/or course requirements by providing a range of options and possible consequences.

The Associate Registrar’s other major areas of responsibility are Student Experience, Academic Integrity, Petitions & Appeals, Graduating Students, and Communications.

The Associate Registrar is responsible for developing, supporting and evaluating student engagement programming delivered by the Office of the Registrar and Student Services (ORSS). These programs create the conditions for the successful transition and engagement of incoming students, current students, and graduating students to University life and beyond, and contribute to their ability to progress through and complete Faculty of Information programs.

This role is currently eligible for a hybrid work arrangement, pursuant to University policies and guidelines, including but not limited to the University of Toronto’s Alternative Work Arrangements Guideline.

Your responsibilities will include:

  • Advising students on academic and/or financial matters by providing options and consequences incorporating personal circumstances impacting academic success and an understanding of an individual’s background
  • Assessing petitions and/or appeals and determining which claim(s) can be resolved immediately and which requires committee review
  • Interpreting academic regulations, program and degree requirements
  • Advising students on program and/or course requirements by probing and providing a range of options and possible consequences
  • Developing and implementing student retention plans that support strategic objectives
  • Liaising with students and faculty to coordinate program activities
  • Facilitating educational workshops and seminars
  • Keeping well-informed on University programs, policies and procedures

Essential Qualifications:

  • Bachelor’s degree or acceptable equivalent combination of education and experience. Master’s degree preferred.
  • Minimum five years’ experience in undergraduate and/or graduate student academic advising on program and course requirements in a university setting.
  • Experience advising undergraduate and graduate students on financial aid and award matters.
  • Experience assessing petitions and/or appeals.
  • Demonstrated experience in interpreting and applying complex academic policies and procedures to a variety of complex and/or unusual situations and problems.
  • Experience in academic success programming; designing, delivering and evaluating student experience initiatives, programs and events, including targeting students at-risk.
  • Experience in facilitating partnerships with constituents from a variety of institutional functional areas (students, student leaders, student societies, staff, faculty, administration).
  • Experience recruiting, training and mentoring student staff.
  • Experience with evaluation and research tools, and demonstrated ability to analyze and synthesize data.
  • Extensive knowledge and practical application of student development and learning theory.
  • Strong computer skills including Microsoft Windows, Word, Excel; Demonstrated knowledge and proficiency with a student information. system (such as ROSI – Repository of Student Information), eMarks, Symplicity and Degree Explorer essential.
  • Demonstrated leadership skills; Strong team player with an ability to take direction and initiative when needed.
  • Highly developed planning, organizational and analytical skills with a strong attention to detail.
  • Superb interpersonal, listening, and communication skills (verbal and written) for fostering student development and resolving conflict.
  • Ability to work well and address challenges with diverse groups from the public, students, staff, faculty members and external offices.
  • Excellence in managing projects through effective setting of priorities; creative problem solving skills; ability to initiate independent collaborations.
  • Excellent judgment; strong reliability; demonstrated ability to exercise tact, discretion and sensitivity to confidential matters with knowledge of FIPPA policies and procedures.
  • Strong customer service and student success orientation.
  • Demonstrated ability to handle a heavy workload and meet deadlines.
  • Ability to work overtime and evenings during peak times.

Pay Scale Group & Hiring Zone: 

USW Pay Band 15 — $95,627. with an annual step progression to a maximum of $122,290. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
