What you’ll be doing

The Legal Operations, Consultant will report into the Senior Director, External Global Legal Services and assist the Senior Manager, Legal Operations in managing and maintaining oversight of CIBC’s panel law firms and legal Third Party Vendors in order to comply with internal compliance and external regulatory requirements. Utilizing a strong skill set in financial reporting, project management and a broad based knowledge of third party governance, data and records management you will play a critical role in supporting Legal’s global responsibility for how external legal services are delivered, managed and sourced.

You will be focused on risk and compliance management and assist the Senior Manager with the oversight, tracking and reporting of Global Approved Counsel, Bank USA Special Counsel and TPVs, globally.

How you’ll succeed

• Risk Assessment & Mitigation- You will focus on evaluating and conducting regular threat risk assessments of law firms in order to identify deficiencies and/or risks and to work with the Third Party Governance Office (TPGO) and other internal control groups (e.g., Privacy, Information Security, Data Centre Management) to evaluate and mitigate operational and potential reputational risk.

• Supporting Senior Managers & Cross functional teams- Ensuring that TyMetrix critical data elements comply with enterprise data governance framework; monitoring and updating the records management of the global external spend data warehouse; updating law firm information and assessments in the COUPA Risk module. Managing the compliance reporting and risk assessments for all USA Special Counsel, Approved Counsel and TPVs. In addition, you will also assist the Senior Director of External Global Legal Operations with managing the collection, reporting and updating of information as it relates to law firm information security breaches and events, including post security incident follow up and reporting requirements as required by Information Security, Incident Management, TPGO and Group Operating Risk Management (GORM) groups.

• Analytics & Reporting- Completing quarterly performance and risk evaluation for approved counsel, special counsel firms and legal TPVs as required. Completing TPGO Re-Segmentation Activities, including COUPA assessments, conducting evaluation activities and vendor information updates including the collection and validation of required artifacts (SOC2T2, Disaster Recovery Plans, Insurance Certificates, Cloud Computing, Data Destruction Certificates for the onboarding of any law firms into Coupa Risk module). Assisting with the collection and tracking of annual law firm Information Security Requirement (ISR) Attestations, ISR reporting, collection of supporting law firm ISR artifacts and Legal Information Security Risk Assessments, including updating Coupa Risk ratings as required. Co-ordinating with the Information Security Group, ISR evaluations and assessments of newly onboarded law firms. Assisting, when necessary, with any law firm ISR remediation efforts following security breaches.

• Records Management- Assisting with annual data management segmentation pertaining to critical data elements in TyMetrix. Identifying all records under their custody and ensuring they are stored in an approved Records Repository and confirming with the Records Repository Committee (RRC) that all records are properly updated and identified in the Record Inventory Tracker. Labeling Records as required by the Records Repository (e.g., Record Labels in SharePoint). Conducting annual reviews of approved counsel data and records to ensure that inactive records are properly classified as inactive. Collaborating with the RRC to identify Records for destruction. Providing Senior Director with annual recommendations as to which records to be destroyed. Liaising with law firms and TPVs to ensure CIBC data and records are destroyed.
