Job Code: 15314Status: Full TimeLocation: Providence Care HospitalUnion: Non UnionWage:$ 83,635.50 – $98,416.50Posting Period: January 9, 2025 – January 15, 2025Reporting to the Director of Governance, Corporate Secretary and Privacy Officer, the Corporate Records and Archives Coordinator is responsible for records controls, processes and systems for managing records while ensuring statutory/regulatory compliance and minimizing operational risks associated with the creation, collection, processing, storage, use, disclosure, and ownership of information. The position will also assess, collect, organize, preserve, maintain control over, and provide access to archival records that are determined to have permanent and long-term value. The Corporate Records and Archives Coordinator contributes to improving efficiency, productivity, and preservation of information through the management of a corporate records management framework. The position leads the maintenance of all records in their historical, legal, and administrative context and protects record authenticity to insure they continue to provide reliable evidence about the past and to inform the future.Position Duties & Responsibilities:Corporate Records:
- Implement an enterprise-wide electronic document management system for digital documentation, including word processing files, email messages, and other documentation that falls outside the scope of digital documents such as web pages, blogs, audio recordings, video recordings, etc.
- Support the organization’s primary operations, processes, and activities to advance its strategic initiatives by managing the information life cycle, making information accessible and usable, safeguarding information assets, ensuring compliance with information-related legal and regulatory requirements, and addressing information-related risks.
- Responsible for administrative, operational, and analytical tasks, including but not limited to inventorying records, retention requirements, destruction of records, microfilming, scanning, protecting essential records, filing and retrieval methods.
- Develop policies and procedures under which the Records and Information Retention Schedule and disposition program will be conducted.
- Ensure risk control measures and/or guidelines are established and widely communicated to safeguard equipment, software, and networking components necessary to retrieve or process electronic records, including disaster recovery planning and auditing.
Archives:
- Implement an archival classification system to permanently preserve records in a digital format and facilitate information retrieval.
- Preserve organizational history, and Corporate legal records as set out in applicable legislation; e.g. the Not-for-Profit Corporations Act, Public Hospitals Act, Fixing Long-Term Care Act, Mental Health Act.
- Perform information collection management: Cataloguing, collection acquisition and maintenance; leading the preservation of archival records from Providence Care’s programs/services.
- Provide research and reference archival services to institutional and non-institutional users based on archival materials and respond to internal and external inquiries either in person, by phone or by email.
Education & Experience:·
- Post-secondary education in Information/Library Science or Records Management; equivalent combination of relevant education, training, and experience may be considered.
- Minimum two years of records management/electronic records management experience, preferably in a health care setting.
- Recent related experience with records retention and records scheduling.
