Title: Systems Officer

Working within the Enablement team in Humanitarian Services, the Systems Officer is responsible for maintaining accurate documentation and tools ensuring consistent operations across teams working in emergency relief and recovery. Supporting users of the system, they will monitor system use and deliver orientations and coaching to enable confidence and consistency within personnel. The Systems Officer supports service delivery, good practices in data management and translates between the technical systems and the service teams

In this role, you will:

  • Contribute to the development of system documentation, processes, job aids and training material.
  • Customize user tools and job aids based on established templates and considering service, program or operation specific needs and details.
  • Support the full lifecycle of services, programs and operations in the system including set up/launch, monitoring, reporting, and closure.
  • Provide guidance and support to system users to ensure consistent and confident system use.
  • Deliver training and orientation sessions to internal teams using established training material.
  • Respond to user queries and issues in using systems and escalate as needed.
  • Track identified metrics and data points, ensuring consistency and quality in data inputs.
  • Monitor and manage system access in accordance with established standards and processes.
  • Prepare and generate regular reports from the system as requested.
  • Review and validate data to ensure its accuracy and completeness, identifying and resolving data-related issues.
  • Manage sensitive information in accordance with confidentiality and privacy standards, ensuring that data is handled securely at all stages.
  • Identify opportunities for improvements to systems, processes, and supporting documentation and tools.
  • Coordinate and collaborate with internal teams using systems including seeking feedback on areas for improvement.

What we are looking for:

  • Qualifications include a minimum of 2-4 years of experience and a 3-year college diploma or university degree in data science, computer science, social sciences, public administration, business administration, international development, community development or related field, and/or an equivalent combination of education and experience.
  • Fluent in various computer applications and software including the MS Office Suite, Share Point, Power BI and database systems.
  • Knowledge of technical documentation, data governance and reporting.
  • Ability to identify and resolve issues, by applying standard procedures and functional or organizational knowledge.
  • Communication skills, diplomacy and empathy to interpret information and deliver advice, clarify client or stakeholder needs, offer solutions, and resolve escalations in new or somewhat sensitive situations.
  • Ability to collect, analyze, and interpret data for decision-making.
  • Demonstrated facilitation experience.
  • Demonstrated experience working with data systems, data management practices and internet technologies.
