Title: Team Lead, Payroll

We are seeking an experienced and detail-oriented Team Lead, Payroll to oversee the payroll operations across multiple entities within our organization. Team Lead, Payroll ensures the accurate and timely preparation, documentation, distribution, and reconciliation of the payroll process. They provide day to day guidance and task coordination to payroll administrators, maintain compliance with all relevant regulations, policies, and procedures, while continuously improving payroll systems and processes. Team Lead, Payroll collaborates with HR, finance, other departments, vendors and professional associations to resolve payroll-related issues, provide exceptional service to employees, and support the organization’s strategic goals through effective payroll management.
In this role, you will:
- Lead the payroll team in processing biweekly payrolls for multiple entities, ensuring accuracy and adherence to strict deadlines.
- Serve as the primary contact for escalated payroll inquiries and issue resolution.
- Liaise with HR and Payroll teams across Canada to troubleshoot and resolve complex payroll-related matters.
- Coordinate payroll activities with external service providers when applicable.
- Interpret and apply company policies, employment standards, and union collective agreements in payroll processing.
- Provide daily support to Payroll Administrators through training, task coordination, technical reviews, and mentorship.
- Perform monthly general ledger reconciliations, including income tax, CPP, EI, WSIB, and EHT.
- Reconcile Kronos (MyTime) timesheet data with ADP Workforce Now (WFN) imports and approve prior to payroll processing.
- Support year-end processes including the reconciliation and preparation of T4s and T4As, as well as overpayment adjustments.
- Prepare and balance final payroll wire payments, tax filings, and related financial reports.
- Maintain and update employee information in the payroll system to ensure accuracy.
- Participate in special projects and other payroll-related responsibilities as assigned.
- Document and update payroll procedures, tools, and communication protocols.
- Provide necessary documentation and support for internal and external audits.
- Stay current on payroll legislation and ensure compliance with all regulatory requirements.
What we are looking for:
- 4–5 years of progressive experience in payroll administration, including experience in a leadership or supervisory role.
- 1–2 year post-secondary diploma or certification in Accounting, Payroll, Bookkeeping, or a related field (or equivalent combination of education and experience).
- Payroll Compliance Practitioner (PCP) certification completed or currently enrolled with a commitment to completion.
- Strong knowledge of payroll regulations, practices, and legislation.
- Proficiency with Microsoft Office (Excel, Word, Outlook) and payroll systems, preferably ADP Workforce Now.
- Experience with Kronos (MyTime) is an asset.
- Exceptional attention to detail and mathematical accuracy.
- Strong analytical and problem-solving skills to investigate and resolve payroll discrepancies.
- Excellent communication and interpersonal skills, with the ability to manage sensitive issues with diplomacy and empathy.
- Ability to prioritize, multitask, and work effectively under pressure in a deadline-driven environment.
