The Department of Family and Community Medicine (DFCM) is recognized internationally for its clinical, educational and research excellence. Our faculty are clinical and academic leaders who are breaking new ground on issues ranging from inner city health, addiction medicine, global health, palliative care, immigrant and indigenous health, and far more.

The Office of Education Scholarship (OES) is a source of knowledge, guidance and mentorship in scholarly activities related to teaching and education in family medicine. Our faculty work with individuals, leaders, programs and teaching sites. We can help you take a question through the scholarly process to a stage where the results of your work can be shared with a peer group. We can support and help build your own capacity to engage in your everyday work in a scholarly manner.

As the Education Scholarship Administrator, you will be the primary point of contact for OES. You will coordinate and monitor project plans, as well as determining logistical details and activities for events and/or programming. You will be relied onto provide recommendations regarding operational efficiencies and coordinate relevant audit processes. Utilizing your strong project coordination, communication, and detail-orientation skills, you will be an important contributor to supporting OES’s mission.

Your responsibilities will include:

  • Analyzing processes and recommending changes for more efficient coordination of operations
  • Coordinating and implementing project plans including, ensuring documentation accuracy, securing approvals, monitoring deadlines, addressing concerns proactively and within role’s scope, and escalating issues to senior staff when necessary
  • Coordinating accreditation and/or program audit processes and keeping well informed on relevant policies/procedures
  • Determining logistical details and activities for events and/or programming
  • Coordinating meeting schedules, agendas, materials, action and follow up items
  • Verifying research funding proposals are complete, accurate, and adhere to sponsor guidelines
  • Monitoring financial accounts for a project and/or program

Essential Qualifications:

  • Bachelor’s Degree or acceptable combination of equivalent experience.
  • Minimum five (5) years’ of relevant administration experience in a university or equivalent environment such as a teaching hospital
  • Demonstrated project coordination experience in an academic environment is required, including developing, tracking, implementing and evaluating project plans
  • Experience analyzing and assessing data and processes and making recommendations for improvements
  • Experience supporting logistical details and activities for events and/or programming
  • Experience monitoring financial accounts for project and/or program purposes
  • Advanced proficiency in MS Office Suite, POWER, survey tools, learning management systems and content management systems
  • Excellent interpersonal and communication skills (written and verbal)
  • Demonstrated ability to communicate complicated regulatory guidelines effectively to faculty and staff at various levels
  • Exceptional organizational skills and flexibility in adjusting to changing circumstances
  • Ability to manage multifaceted, concurrent projects and tasks
  • Demonstrated ability to analyze, problem solve and exercise independent judgment based on sound principles
  • Ability to work collaborativelyin a team environment to achieve department goals
  • Demonstrated initiative and creativity

Pay Scale Group & Hiring Zone: 

USW Pay Band 12 — $79,874. with an annual step progression to a maximum of $102,147. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
