The Event Fulfillment Manager focuses on the strategic oversight and execution of diverse event types, ensuring client satisfaction and operational excellence. Responsibilities include comprehensive event planning, budget management, risk mitigation, and fostering a collaborative team environment. Additionally, the role provides strategic direction to the Event Delivery team, ensuring alignment with organizational goals and consistent quality. Key priorities include leadership, maintaining high service standards, and driving continuous improvement across event services.
Purpose and Key Responsibilities

  • Effective and Successful Execution of All Event Types
  • Oversee the planning, coordination, and execution of a diverse range of event types, ensuring satisfaction for clients and guests.
  • Lead by example, attending all major events to meet client expectations and represent Westerner Park.
  • Continuously seek ways to deliver exceptional service and create memorable event experiences.

Core Functions
Team Leadership and Coordination

  • Lead and motivate the event staff, including coordinators, volunteers, and support personnel, to ensure smooth execution of events.
  • Delegate tasks and responsibilities effectively, providing clear guidance and support to team members.
  • Foster a collaborative and positive work environment, promoting teamwork and open communication.
  • Develop customer service initiatives and model Westerner Park values.

Event Planning and Coordination

  • Collaborate with clients and internal stakeholders to understand event objectives, themes, and requirements.
  • Develop comprehensive event plans, timelines, and budgets, ensuring alignment with client expectations and organizational goals.
  • Source and coordinate vendors, venues, catering services, entertainment, and other event-related resources.
  • Manage logistics such as venue setup, equipment rental, transportation, and accommodations.

Budget Management

  • Create detailed event budgets, forecasting expense and revenue streams.
  • Develop departmental budgets for the Event Services and Event Delivery teams.
  • Monitor budgetary constraints throughout the planning process, making adjustments as needed to ensure financial targets are met.
  • Negotiate contracts with vendors and suppliers to optimize costs while maintaining quality standards.

Risk Management and Compliance

  • Identify potential risks and challenges associated with event planning and execution.
  • Develop contingency plans and mitigation strategies to address unforeseen circumstances and minimize disruptions.
  • Ensure compliance with safety regulations, insurance requirements, and permits for each event.

Leadership and Coaching

  • Ensure the overall Event Services delivery presents an exceptional customer service experience.
  • Perform regular performance evaluations, providing feedback and development opportunities.
  • Determine staffing requirements and oversee the recruitment of service-oriented personnel.
  • Train and support staff to acquire and maintain extensive product knowledge of the full range of services.

Event Delivery

  • Provide strategic direction to the Event Delivery team, ensuring alignment with organizational goals and event objectives.
  • Collaborate with the Assistant Manager, Event Delivery, to establish long-term strategies process development, and improvements for event production operations.
  • Review and refine processes and standards for event delivery operations to maintain consistency and quality.
  • Monitor and evaluate the performance of the Event Delivery department, identifying opportunities for efficiency and growth.
  • Ensure adequate resources and training programs are in place to support the team’s operational needs and adherence to safety protocols.

Client Event Management

  • Develop and maintain constructive and cooperative working relationships with clients and customers throughout the event planning process.
  • Oversee the coordination of all events that pertain to Event Services, including sports and entertainment, tradeshows and conferences, agricultural events, weddings, and banquets.
  • Liaise with conference delegates and exhibitors from the time of commitment through the event’s conclusion.
  • Assist Westerner Park’s Finance business unit with event-related invoicing and credit control.

Administration

  • Manage the budget cycle, including planning, authorizing expenses, attaining revenue expectations, and administration.
  • Compile required sales reports, such as forecasts and business development activity reports, to evaluate effectiveness and progress.
  • Comment on event reports, profit and loss statements, and other financial documents to ensure transparency and performance tracking.
  • Perform special projects and other responsibilities as assigned, participating in task forces and committees when necessary.

Additional Responsibilities

  • Act as the event lead for Westerner Days Fair and Exposition, ensuring seamless execution.
  • Represent Westerner Park at community events to strengthen relationships and visibility.
  • Continuously assess and refine processes to enhance operational efficiency and client satisfaction.

Here is what you bring:

  • Post-secondary Diploma or Degree in Business or Hospitality
  • Minimum 5 years of proven experience in event management with a portfolio of successful events
  • Leadership ability and team building skills
  • Proficiency with Microsoft 365 Programs (Word, Excel, Outlook, Teams)
  • Proficiency with Event Management and/or CRM Software, preferably EventPro is an asset
  • Experience with CAD Drawing Programs is an asset
  • Excellent organizational and time-management skills
  • Creative flair and attention to detail
