Within the Student Life Programs & Services cluster, this role contributes to Career Exploration & Education.

Your opportunity:

Reporting to the Assistant Director, Employer Recruitment & Engagement and supervised by the Lead Coordinator, Employer Recruitment & Engagement, the Events & Communications Coordinator works collaboratively with career services colleagues to plan, execute and assess events aimed at serving the employment, career education and career exploration needs of students and recent graduates on the St. George campus.

The Coordinator will perform a wide and dynamic range of duties, including planning, delivering and promoting high-quality, large-scale career exploration and industry-related events such as in-person and online conferences, fairs, information sessions, recruitment initiatives, and more. This is done in collaboration with colleagues, students and employer partners. In more detail, the Coordinator will conceptualize, organize and deliver event activities; curate and share materials and logistics support to event participants and vendors in a timely manner; arrange and coordinate the schedule for program and event calendars; determine logistical details and activities for events and/or programming; resolve issues that may occur during events and escalate challenges as required; conduct post-event evaluation, undertake analysis and prepare recommendations for enhancements and changes; coordinate the preparation and distribution of promotional/outreach materials; track registration; maintain information on digital platforms and websites; track progress and generate reports.

Your responsibilities will include:

  • Conceptualizing, organizing and executing event activities using work back plans and critical paths
  • Handling expenses for events. Coordinating the schedule for program and event calendars
  • Determining operations and logistics – detail and implementation activities, for organizing events and programming across the unit
  • Organizing materials forworkshops, conferences and/or events
  • Determining changes to an event based on unusual and/or unexpected circumstances
  • Conducting post-event evaluation, analysis and recommendations for changes
  • Coordinating the preparation and distribution of promotional/outreach materials
  • Documenting and maintaining standard operating procedures

Essential Qualifications:

  • Bachelor’s Degree or an acceptable equivalent combination of education andexperience.
  • Minimum three years’ experience in event planning within a career or recruitment setting.
  • Demonstrated experience planning and organizing numerous multi-day events within tight and conflicting time frames.
  • Experience tracking expenses against a budget.
  • Previous survey experience, survey analysis and report preparation required.
  • Advanced experience with Microsoft Teams, Word, Excel and PowerPoint as well as extensive experience with databases.
  • Superior organizational and project management skills; strong writing skills; excellent analytical skills and report preparation.
  • Ability to lead work teams and collaborate with colleagues to achieve event outcomes, including timely and ongoing communication and progress updates.
  • Strong track record of building and maintaining partnerships cross-functionally and with external organizations.
  • Ability to synthesize and analyze data; attention to detail.

Pay Scale Group & Hiring Zone:

USW Pay Band 09 — $66,715. with an annual step progression to a maximum of $85,319. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
