Executive Assistant to the Chief legal Affairs and Corporate Secretary

Department: Legal Affairs

Location: On-site role, Laval, QC (4204 boul. Industriel, Laval)

Job type: Permanent, Full-time (40 hours)

THE ROLE

We are looking for a highly organized, discreet, and proactive Executive Assistant to support the Chief Legal Affairs and Corporate Secretary in a fast-paced, demanding environment. The selected candidate will play a key role in ensuring the smooth operation of the Chief Legal Affairs’office by managing complex schedules, coordinating certain legal and governance activities, and supporting several strategic initiatives within the Legal department.

WHAT YOU WILL DO

Executive Support

• Manage the Chief Legal Affairs’ calendar, meetings, travel, and communications, including sensitive and confidential information.
• Screen and prioritize emails and calls; draft and manage correspondence.
• Prepare, format, and review documents, reports, and presentations.
• Coordinate expense reports and ensure proper follow-up.

Legal Department Coordination

• Assist in organizing events, conferences, and internal initiatives for the Legal team.
• Support legal budget planning and monitoring.
• Collaborate with the Chief Legal Affairs on various projects and strategic initiatives.
• Track action items and ensure timely execution.

Governance Support

• Assist in preparing and organizing Board of Directors and committee meetings and documents.
• Oversee meeting logistics and travel arrangements for certain board members.

Administrative Excellence

• Organize and coordinate meetings under the Chief Legal Affairs responsibility, including agendas, minutes, and follow-ups.
• Maintain effective communication between the Chief Legal Affairs’ office, internal teams, and external stakeholders.
• Perform any other administrative duties required to support the Chief Legal Affairs and Legal team.

WHAT YOU’LL NEED

education: College diploma in Secretarial Studies or any other relevant education.

experience: Minimum of 7 years in a similar role.

Knowledge and Skills

• Proven ability to work independently with sound judgment and discretion.
• Strong organizational skills, attention to detail, and ability to manage multiple priorities under pressure.
• Excellent interpersonal skills and team spirit.
• High integrity and absolute respect for confidentiality.
• Strong written and verbal communication skills in French and English.
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
• Ability to draft, review, and translate documents in English and French.
• Flexibility and adaptability in a constantly changing environment.

Language Skills: Bilingualism required (advanced French and English, both spoken and written).
