Overview:The Executive Office Manager provides strategic advice and support to the President and CEO. Is the primary point of contact for the Office of the CEO, manages all aspects of the CEO’s office including confidential administrative support. Manages the preparation of materials for the Board of Directors and Minister Responsible for NTPC ensuing documents are professionally prepared, accurate and completed on schedule. Provides administrative support for the Senior Leadership Team and is the Policy Coordinator. Manages NTPC’s Administrative Services, oversees the corporate offices and is responsible for corporate event planning. Responsibilities:Support to President & CEO:
- Is the primary point of contact for the office of the President & CEO and the Corporation in general; responsible for organizing, planning, participation, coordination of resources, and logistics of NTPC involvement in major industry and community events
- Provides the President & CEO with confidential administrative support; provides advice where necessary or required, uses discretion to bring issues of concern and feedback from staff/Senior Leadership Team to the attention of the President & CEO
- Manages all aspects of President & CEO’s office. Working with the President & CEO, this shall include developing O&M budgets, completion of monthly variance analysis, purchasing, financial reconciliations, travel arrangements, expense claims, management of signing book and ensuring their calendar is kept up to date at all times.
Support to Senior Leadership Team (SLT):
- As a supporting member of the Senior Leadership Team, coordinates and ensures administrative support at all meetings, providing support and input where required.
- Establishes and maintains effective communication and working relationship with representatives of the Office of the Minister Responsible for the NWT Power Corporation, the Chair’s office (Corporate Secretary), and offices of members of the Board.
- Provides advice and clarification to SLT and Executive Division as needed with respect to the requests and requirements of the President & CEO, which includes communicating CEO requirements to SLT, gathering feedback, compiling, and tracking information, as necessary.
Administrative Services:
- Coordinates and assigns work to the administrative staff. Responsibilities include hiring, training, evaluation, and discipline of personnel. Operates as a supervisor/coach/mentor for direct reports, which includes, setting objectives, assigning duties, assessing and managing individual performance, with the aim of delivering results.
- Oversees the corporate offices in Hay River which includes working with the logistics team to respond to maintenance concerns, working with the Asset Managers on capital requests and approves office space assignment. Works with the various directors to ensure general building tidiness and corporate messaging is appropriate
- Provides recommendations on the requirement for corporate accommodations which includes both leased and NTPC owned units. Works collaboratively with the Human Resource and Operation divisions to maximize the use of corporate accommodations which includes tracking the usage of all NTPC leased or owned accommodations.
- Responsible for corporate event planning and coordinates with various divisions on specific corporate functions such as long-service awards and employee recognition. This includes coordinating with the employee social clubs and seasonal holiday events.
Qualifications:
- Post-secondary Degree in Business Administration or other relevant discipline, plus at least five years progressive senior management administrative experience required. Equivalencies may be considered.
- Two years management experience required. Supervisory experience may be considered.
- Support for C-suite / executive level positions would be an asset.
- Must be proficient in Microsoft Office suite (Word, Excel, PPT, Outlook) and highly skilled in Adobe Acrobat.
- Must be able to work well under pressure and manage change.
- Must have tact, diplomacy, be a self-starter and be able to multi-task.
- Must have excellent communication skills, analytical skills and problem-solving skills.
- Class 5 Drivers License or equivalent is required.
- Must undergo a successful criminal background check.
Salary for this position ranges from $58.55/hr.-$73.18/hr. as well as location and accommodation allowance of approximately $8,023 per annum.
