DescriptionThis role involves providing administrative support to the Business team members and Manager with various tasks and reporting, ensuring team compliance.KEY RESPONSIBILITIES:Administration Responsibilities

  • Provide administrative support to Business Manager on various tasks
  • Multi-task in an environment where numerous tasks and events are unpredictable and urgent in nature.
  • Participate in the development, implementation, evaluation and revision of all policies, procedures, strategic and business plans.
  • Ensure that Salvation Army Monthly Information System (SAMIS) statistical reports are completed and submitted monthly.
  • Gather, enter, and update data to maintain departmental records and databases as appropriate; establish and maintain virtual files and records for the department.
  • Work with several teams within the Business department to track Maintenance Work Orders, Audit logs for Dietary and Environmental Services, Rent Assistance/Home now rental tracking, Visa tracking and other audit paperwork.
  • Assist with new hire documentation, processes, onboarding and training.
  • Prepare, update, and submit job postings and request to fill documentation to Divisional Headquarters (DHQ) Human Relations to fill department vacancies as per the Collective Agreements and The Salvation Army policy and procedures.
  • Work with Business Manager on Accreditation.
  • Minutes for various meetings- transcribing and maintenance of virtual minutes.
  • Assist with composing and updating of Health and Safety policies and procedures and written material, as required.
  • Assist with Collective Agreement Compliance.
  • Special projects when required.
  • Working on grant writing with Business Manager.

Financial Responsibilities

  • Assist with the monthly reporting to funders.
  • Preparation of billings and payables for MU when required.
  • Assist with yearly budgets when required.

WORKING CONDITIONS:

  • This is a permanent full time position working 8 hour shifts based on 40 hours per week.
  • Office/shelter environment.
  • Remote working.
  • Travel to various YHHS locations.
  • Transportation is required to travel between locations.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • Business Administration diploma.
  • Grade 12 completion.
  • A valid first aid and CPR certificate.
  • Up to date WMHIS training.

EXPERIENCE AND KNOWLEDGE:

  • 3-5 years’ experience in an Administrative Role
  • 1-2 years’ experience with payroll and Human Resources preferred.
  • Experience with not for profit.
  • Valid Ontario Class “G” Driver’s License, personal vehicle required and insurance, current copy of driver’s abstract that is satisfactory to The Salvation Army, in its sole discretion, is required.

SKILLS AND CAPABILITIES

  • Able to navigate Microsoft Office and Office 365.
  • Able to work in a fast-paced environment.
  • Strong sense of integrity and confidentiality with professional ethics and a balanced sense of fairness and flexibility.
  • Excellent oral and written communication skills in English.
  • Must have good interpersonal and time management skills.
  • Ability to work with the vulnerable population that YHSS serves.
  • Participate in our online Armatus Abuse Training and Health and Safety training required upon hiring, as well as updated annually
  • Ability to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check with vulnerable sector
  • Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
