About the Role:

Reporting to the Graduate Program Director, Joint Phd Program and the Graduate Program Director, MEd program, the incumbent serves as the primary point of contact for MEd and PhD students and provides high-quality academic advising and progress monitoring. The Graduate Student Coordinator is responsible for supporting domestic, international, and non-degree graduate students, as well as liaising with various internal partners. The Coordinator helps students navigate scholarly opportunities and program requirements, ensuring a seamless experience throughout their graduate studies.

The Graduate Student Coordinator will:

• Provide student advising for incoming and continuing students who are entering a variety of programs at different points in the year and following multiple calendars;
• Provide advisement to both domestic and international students and applicants that meets the unique needs of each group;
• Perform academic advising for processes such as registration challenges, degree progression, course pathways, form completion, course substitutions, meeting calendar requirements, and program absences;
• Monitor the graduate program calendar requirements for the current and several previous academic years to support the compliance and progression of graduate students;
• Collect, review, and process student progress and permission forms;
• Process applicant, student, and returning student requests in accordance with university and program policies and student progress to date;
• Advise applicants and prospective domestic and international applicants on all aspects of every graduate program offered by the Faculty of Education;
• Maintain communication with prospective students, following up with incoming students who have not registered;
• Respond to unique questions from domestic and international applicants that require case by case individual responses and follow ups;
• Create and maintain student checklists to assist and streamline procedures for meeting submission guidelines;
• Provide information to graduate students and their supervisors related to MRPs, theses, portfolios, and dissertations;
• Respond to walk-in, telephone, and email queries from prospective and current students;
• Refer in-depth queries and information to appropriate personnel (e.g., Graduate Program Director; Associate Dean, FGSPA student services, and Brock International);
• Attend and assist with orientation events for the MEd and PhD programs;
• Attend graduate program committee meetings;
• Attend Convocation events, helping to confer degrees to MEd and PhD students.

Key Skills and Experience:

• Post secondary courses related to Office Administration;
• Administrative and graduate student academic advising experience;
• Knowledge of university, faculty, department, and registrar policies/procedures, graduate program calendars, with proven ability to remain current to serve as an effective resource;
• Extensive knowledge of program requirements, degree routes, and pathways;
• Detailed knowledge of University Admissions process, Faculty Handbook and Graduate Calendar regulations;
• Knowledge of academic advising, including advising models, theories, and techniques;
• Solid computer competency with Microsoft Office suite of products including word processing, spreadsheet, Outlook, Power Point, and with other systems such as web applications and maintenance, Workday, Adobe Acrobat, Brightspace, scheduling system, and BrockDB;
• Knowledge of records management and privacy requirements and best practices;
• Excellent writing, grammar, and proofreading skills;
• Excellent interpersonal skills to communicate effectively with various audiences;
• Ability to exercise tact and discretion, and maintain strict confidentiality requirements;
• Ability to establish priorities, organize own work, and work with minimal or no supervision;
• Ability to multi-task to perform a variety of administrative tasks requiring sound judgement and discretion.

Preferred or Asset Skills:

• Experience in a postsecondary educational environment;
• Preferred graduate degree in Education or a related field.

Salary and Total Rewards:

• Job Grade OSSTF J, Salary Scale ($49,154-$68,187)*;
• This is a permeant position that includes full comprehensive benefits including tuition waiver.
• This position will be required to work on site 5 days per week.

This position is included in the Ontario Secondary School Teachers Federation (OSSTF) Union and:

• Salary is therefore determined by the OSSTF Collective agreement. *
• New members shall be placed on the salary grid at the entry level.
