There are over 150 employees in Facilities, including Project Managers, Energy and Commissioning Specialists, Mechanical and Electrical Engineers, Architects, and space Planners. The facilities capital and operating expenditures are in the range of $100M for the University’s $2.0 billion assets under management. The 20-year Capital spending plan envisions $4.0 billion of new investment highlighted by uOttawa launch of project Top Shelf, a $300 million capital investment to build a new facility for the Faculty of Health Sciences at uOttawa’s River Campus, as well as a tower at the Roger Guidon campus to house uOttawa’s new Advanced Medical Research Center (AMRC).Position purpose:
The Logistics Coordinator is responsible for administering inventory stock requests, adjustments, and replenishment. The incumbent organizes and manages inventory, storage, and transportation, analyzing and optimizing logistical procedures. The Logistics coordinator also ensures safe and timely pick-up and delivery shipments.In this role, you will:

  • Manage orders associated with inventory by processing stock requests and coordinating customer order fulfillment and delivery.
  • Perform inventory counts, adjustments, and replenishments to maintain an adequate level of stock to support the operations, guarantee the quality of the products and ensure the information available to the clients is accurate.
  • Track supplier’s performance and liaise critical information to the management, directly impacting the cost-efficiency of the services and products, risks mitigation, and drive continuous improvement.
  • Track all regulated substances received or shipped, such as chemicals and assets in compliance with internal procedures and provincial and federal regulations and requirements such as Canadian Standards Association (CSA) and Workplace Hazardous Materials Information Systems (WHMIS).
  • Process invoices associated with inventory, shipping, and custom clearance activities.
  • Coordinate custom clearance activities for all incoming overseas shipments of the faculty or service, frequently perishable, expensive research products, and live specimens.
  • Provide guidance to buyers and clients ensuring applicable documentation is complete to avoid customs clearance delays or surcharges.
  • Manage shipping requests reviewing and recommending appropriate freight costs, transportation rates, and carriers. Ensure legal commercial invoice is prepared, and proper packaging is used according to Transportation of Dangerous Goods (TDG) regulations and internal health and safety procedures
  • Receive products, such as scientific supplies and equipment and hazardous materials to coordinate delivery in compliance with the Workplace Hazardous Materials Information System (WHMIS) legislation and University procedures.
  • Regularly communicate with customers to assess and understand supply needs and act as a resource person regarding supply chain and logistics applicable policies and procedures.

What you will bring:

  • Knowledge of administration normally acquired through postsecondary education or an equivalent combination of education and work experience
  • Minimum two (2) years of demonstrated experience in a logistics, supply chain support or in a similar role.
  • Demonstrated experience in interpreting, explaining and applying policies and procedures;
  • Knowledge of Federal and Provincial Environmental Health and Safety Legislation;
  • Experience using ERP solutions and software;
  • Experience in customer service
  • Strong interpersonal, communication and conflict resolution skills;
  • Organizational skills and ability to meet firm deadlines;
  • Capacity to lift boxes and move warehousing equipment
  • Ability to work under pressure and adapt to priorities
  • Bilingualism (spoken and written)
