position Purpose

Is responsible for managing and overseeing the intellectual property (patent) portfolios of uOttawa and its affiliates (OHRI, UOHI, CHEO) and for the ongoing administration of licensed technologies and commercialization revenues. Captures, tracks and adheres to strict deadlines of patent offices in different jurisdictions around the world. Interprets legally binding terms in license agreements, ensuring commitments are being met by all parties.

Specific Accountabilities

• Receives new invention disclosures from the research community and ensures its timely and accurate capture in the intellectual property database. Such new disclosures would then be tracked over a set period of time to facilitate their assessments by the Business Development Managers and subsequent reporting back to the researchers.
• Ensures that all legal agreements (Material transfer agreements, Non-disclosure agreements, inter-institutional agreements, etc) are reflected in the contractual database and easily retrieved by those referring to them for action.
• Responsible for all aspects of patent protection-related actions, with strict deadlines, including the bringing forward of due dates, and actions, for various positions to act upon. It is imperative that no actions are missed as irreparable damage could occur should a deadline not be met.
• Manages the communications between the ISS office and all legal firms involved with patenting actions, including the initiation of payment of fees and possible reimbursement from licensees.
• Maintains a portfolio perspective (including reporting availability) for all internal clients (faculties) and external affiliate institutions (OHRI, CHEO, UOHI). This position is expected to be able to pull reports, statistics and information in able to ensure ISS may meet its obligations to external reporting bodies as well as commitments identified in collective agreements relating to this area of activity.
• Operates proactively with licensees with respect to reporting requirements and revenues owing based upon licence terms and commitments. Upon receipt of licence revenues, prepares the distribution schedule and initiates payment with the appropriate colleagues in ISS/Finance.

Essential Qualifications

• Extensive knowledge of intellectual property and global protection-related processes at all stages of the filing, prosecution and maintenance stages
• In-depth knowledge of the main patent offices in Canada (CIPO), in the US (USPTO) and abroad
• Advanced knowledge of and experience managing technology-related information, including information related to technology protection measures
• Three years’ experience working closely with researchers to support technology development and protection in a research-intensive environment, preferably with a public institution
• Experience liaising with patent and law firms and, in particular, with paralegals
• Ability to manage a large and active patent portfolio while meeting firm deadlines
• Experience working with and managing intellectual property databases (including a formal bring forward system for tracking actions during prosecution stage) and ability to use databases to rapidly retrieve information and create reports
• Strong knowledge of computer software and applications, including Word, Excel, PowerPoint and legal/patent management systems
• Ability to take initiative, show good judgement and maintain confidentiality
• Demonstrated excellent listening, oral presentation and writing skills
• Professional integrity and high ethical standards
• Ability to champion interests of uOttawa and its researchers
• Good organizational skills in order to manage multiple projects and prioritize workload while meeting firm deadlines
• Ability to use organizational goals and objectives to inform decision-making
• Bilingualism an asset – French and English (spoken and written)
