You have an eye for detail and a knack for adding those special touches that make our programs truly shine and delight team members. As part of a team of trusted Learning Experience Specialists, you’ll manage end-to-end logistics, coordinate across stakeholders, and collaborate to ensure seamless program delivery across ATB to help our team members learn, grow, and succeed! While this role currently focuses on leadership development, support/role may evolve based on organizational needs.Accountabilities
- Manage all end-to-end operational/administrative aspects for multiple ATB learning programs (enrollments, waitlists, scheduling, calendars, attendance, pre-work, completion tracking, access permissions, facilitation coordination, communication, post-program follow up, etc.).
- Collaborate effectively across teams and with diverse stakeholders (program leads, instructional designers, facilitators, vendors, etc.) to help drive the learning strategies and goals for learning programs.
- Lead the delivery of in-person and virtual learning programs by managing logistics such as setup and takedown of learning spaces, preparing & distributing classroom materials, and coordinating other program needs. This may require occasional travel to Calgary/Edmonton.
- Plan and execute on learning-related events, such as kick-off events, graduation ceremonies, and networking opportunities.
- Serve as a primary point of contact for program inquiries, providing expert guidance and assistance to team members and escalating complex issues as needed. You will primarily liaise with leaders at all levels of the organization, from frontline managers to C-suite executives, to ensure their learning needs are met.
- Manage program budgets effectively, including forecasting, tracking expenses, and ensuring adherence to budget guidelines.
- Manage operational excellence by collaborating with other Learning Experience Specialists within the Office of the Registrar to streamline processes, document best practices, and ensure consistent and seamless program delivery and learner experiences across all ATB learning programs.
- Act as a trusted advisor to program leads and stakeholders, using data and research to solve operational challenges, contribute to program improvement and champion the learner experience (big picture scheduling, everyday policies, communication needs, best practices, experiential opportunities etc.).
- Provide comprehensive program support by effectively utilizing learning platforms (Absorb, Degreed etc.) and available templates.
- Enhance the learner experience by incorporating creative and thoughtful elements into events and learning programs (e.g., welcome gifts, themed activities, personalized recognition).
- Gather and analyze key program data: Collect feedback, identify trends, and provide data-driven insights to program leads for continuous improvement of programs and processes.
- Partner with stakeholders to create and leverage communication, design, and data templates to manage programs effectively and deliver results (announcements, reporting, etc.).
Skills, experience & requirementsTechnical Skills
- Course & Event Management – Ability to prioritize, organize, coordinate, and manage manage multiple program and event logistics effectively & efficiently
- Project delivery, Planning, and Steering – Ensure alignment with project plans and stakeholders, adapting as needed to changing circumstances and priorities
- Learning Technology Platforms – Ability to leverage and manipulate learning management platforms that manage administration of learning assets
- Training Documentation – Record and maintain key details to ensure seamless delivery of programs
- Budget Management
- Familiarity with Google Workspace applications (Docs, Sheets, Slides, etc.) is considered an asset

Accreditation
- Bachelor’s degree in Business Administration, Adult Education, Communications or other related programs or equivalent experience
- Proven ability to manage multiple projects & initiatives while providing outstanding client service
