As an integral member of the Legal Administrative Assistant team, the incumbent will support professionals in our Advocacy department whose practice focus on Estates and Trusts litigation.RESPONSIBILITIES
- Prepare, draft and revise correspondence and other documents related to estate administration matters, estate accounts and the estate litigation process
- Transcribe a high volume of dictation
- Assist with preparations for trial, examinations for discovery and mediations
- Attend to putting together records and attending to services
- Maintain busy lawyer’s schedule, including managing and monitoring emails, book appointments, travel arrangements, and prepare expense reports
- Prepare accounts and manage pre-bills, and have a strong working proficiency with all accounting and billing procedures
- Opening and closing files
- Other duties as required
QUALIFICATIONS
- Legal Administrative Assistant Diploma from a recognized college preferred
- 5+ years of experience in estates and trusts litigation
- Ability to handle more than one professional and undertake additional responsibilities as required within the share and team
- Excellent oral and written communication skills, including a strong knowledge of grammar and exceptional spelling and proofreading abilities
- Ability to take instructions, prioritize incoming work, follow through on assignments and manage ongoing tasks
- Highly organized, team player with the ability to work under pressure, deal with changing priorities and meet strict deadlines
- Excellent interpersonal skills and the ability to deal with clients and all levels of staff
- Strong work ethic, excellent attention to detail, highly organized and proactive
- Capacity to work independently as well as in a team environment
- Strong file management, scheduling, billing, accounts receivable and database management capabilities
- Be capable of implementing and maintaining practice management systems on behalf of busy professionals
- Strong technical skills, with proficiency with Microsoft 365, Outlook, Teams, Word, PowerPoint, Excel, CaseLines/CaseCenter, Zoom
- Knowledge of iManage, InterAction, Estatably, Wind Up, ACL, DocuSign would be an asset
