Job Description:We are looking for an experienced Legal Secretary to join our client Toronto, ON. This is a Contract to permanent position that offers an exciting opportunity to work with a dynamic legal team, supporting day-to-day operations and ensuring efficiency in a fast-paced environment. The ideal candidate will excel at managing schedules, organizing legal documentation, and maintaining a detail-oriented office environment.Responsibilities:
Manage and coordinate calendars for three lawyers, including scheduling meetings and appointments using tools like Calendly.
Oversee email inboxes and ensure timely responses to correspondence.
Organize and facilitate Zoom meetings, averaging 12-15 sessions per week.
Perform receptionist duties, such as greeting clients and managing incoming calls.
Maintain a clean and detail-oriented office space, including restocking boardrooms with snacks and supplies.
Prepare and generate legal documents, including notices of change and pleadings.
Utilize case management software such as Clio and DivorceMate to streamline processes.
Handle document preparation, scanning, photocopying, and digital filing using tools like AdobePro and Box.
Support legal proceedings by managing litigation documentation and ensuring accuracy.
Assist in the onboarding process for new team members when required.
Requirements:
Minimum of 1-2 years of experience in family law, with a preference for candidates at an entry-level stage of their career.
Proficiency in legal software, including Calendly, Docusign, Clio, DivorceMate, Box, and Adobe Acrobat.
Strong skills in calendar management and scheduling.
Ability to handle legal documentation, including pleadings and litigation materials.
Exceptional organizational and multitasking abilities in a fast-paced environment.
Excellent communication and interpersonal skills for client and team interactions.
High attention to detail and the ability to maintain confidentiality.
Expected salary
$25 – 29 per hour
