OverviewThe Associate, Loan Administration will act as a team lead and will provide assistance and support to the Vice President, department head to manage and guide the operations of the department, including but not limited to monitoring and maintaining the relevant credit information of each customer within the Loan IQ application and GBR (proprietary SMBC credit application).Perform operational processing and support to commercial lending, focused on monitoring and servicing commercial and business loan transactions that service a portfolio of Corporate participation and syndicated loans. Review, prepare and finalize loan documents ahead of the disbursement of funds; verify that documentation and work processes are complete and conform to policy.Ensure the billing and collection of fees, interest, etc., and validate and carry out loan servicing activities. Support regulatory and strategic business initiatives, audits and projects Collect and reconcile invoices. Perform quality control reviews post-closing and facilitate loan funding.This position is also responsible for managing daily operations, overseeing and checking daily functions of the Loan Administrators. The incumbent would also require strong knowledge of Loan IQ (loan system) to act as “Deal Administrator” to set up new deals/facilities in the system as required and may train others. The position also requires some understanding of the technical aspects of Loan IQ, as the incumbent will be involved in activities such as analysis and testing of the application.The incumbent in this position may serve as a point of contact for complex problems and issues from internal and external parties.Key Accountabilities
- Responsible for managing the workflow, day-to-day operations, projects as well as operational changes as a result of policy or systems updates.
- Ensure that operational processes are carried out accurately and within established service level standards and internal guidelines. Lead the analysis of complex deals and ensure that servicing requests are accurately processed, documentation requirements are satisfied and that loans are compliant with applicable regulations.
- Provide advanced level of support, including interpretation of complex lease and specialized loan documents that may require non-standard repayment structures.
- Oversee the processing of rate changes, billing and payments, advances and maintenance activity related to execution of the loan agreement.
- Conduct and support department audits.
- Support the continued analysis and development of the control environment and risk awareness.
- Support the implementation and development of new product offerings / approvals and other regulatory and strategic business initiatives.
- Verifies that all customer loan applications and transactions comply with policy and procedure and predetermined credit lines with advance understanding of all aspects of loan or deal administration functions (including all aspect of funding).
- Reviews and verifies credit applications in GBR and conduct end-to-end workflow in order to book and fund the deal in loan system (Loan LQ).
- Expert-level of understanding on all loan documentation and briefs, ensuring that the terms and conditions contained in the documents comply with the approved credit facility prior to the disbursement of funds and during the life of the loan.
- Review and approve Loan IQ input templates for new customers and/or deals and facilities and approve new deal/facility set up in Loan IQ. Review, monitor past due items, daily reconciliation report and assist Loan Administrator with reconciliation of interest/fees.
- Coordinates with the Corporate Banking team regarding issues in applications, approval and documentation.
- Responsible for testing functional changes to Loan IQ, including testing for required builds proposed for the system. Testing responsibilities also include verifying accuracy of Oracle GL entries and interface with other GIS systems.
- Trains and coaches other loan administration staff on loan servicing, provides performance feedback and technical expertise. Manages and leads new business and product initiatives with department head.
- Responsible to generate monthly or other periodic reporting as assigned by VP and/or department head. Assist VP, Department Head to prepare Policy & Procedure Manuals (PPM) for the department.
- Participates in Disaster Recovery and Business Continuity exercises to ensure smooth recovery of applications in the event of unplanned business disruption.
- Ensures that the processes followed are in full compliance with all of the Bank’s policies and procedures, including Anti-Money Laundering policies, and the requirements of the relevant regulatory bodies as communicated by SMBCCB’s Compliance Department.
Qualifications and SkillsInterpersonal:
- Interact with internal stakeholders across operations, business management, risk and audit regarding workflows and volumes, production obstacles and customer issues. Work closely with lending operations partners to coordinate between KYC, underwriting and closing activities as part of an integrated approach to delivering a quality loan product. Liaise with counterparties, agent banks, title companies, legal counsel and other external stakeholders to ensure documents and processes are in order for a smooth settlement.
Knowledge & Experience:
- Undergraduate degree in Finance, Accounting Economics or a comparable discipline is a ‘must’.
- Ability to interpret credit agreements and related documentation.
- Functional experience managing processes and projects across multiple business and technical areas.
- 5-8 years previous related corporate banking lending experience,
- Loan accounting and treasury product experience is an asset.
Skills:
- Demonstrate comprehensive knowledge of business operations processing and client services. Possess thorough knowledge of applicable regulatory requirements along with advanced knowledge and understanding of commercial loan operations and products.
- Good interpersonal (Team player), organizational and communication (verbal & written) skills.
- Good computer skills, especially in MS Excel and good keyboarding skills.
- Ability to set priorities, develop a work schedule, monitor progress towards goals and track activities.
- Business fluency in the English language.
Computer Applications:
- Loan IQ, in-house credit application system (GBR), Microsoft Office including Word and Excel.
