What You Will Do

  • Monitor incoming emails for yourself and your project manager(s).
  • Assist reception with overflow by answering incoming calls, relaying messages, and accepting incoming jobs.
  • Coordinate with project manager(s), insurers, building professionals, technicians and subtrades to ensure timely and efficient project execution.
  • Assist with scheduling and organizing project activities to meet deadlines and client expectations.
  • Serve as a main point of contact for clients, providing regular updates and addressing any concerns received.
  • Maintain accurate project documentation, including physical files, scopes of work, estimates, invoices, and progress reports.
  • Document project milestones and completion for invoicing and accurate reporting.
  • Send work orders, as directed, to internal departments and external trades.
  • Send requests for quotes to subtrades and compile received documents for PM to provide accurate estimates.

What You Have

  • Knowledge of the restoration industry is an asset
  • Administrative assistant experience
  • General knowledge of the insurance industry
  • Computer savvy and knowledgeable in Microsoft Office Suite
  • Minimum typing speed of 50 WPM
  • Ability to multitask and have great attention to detail
  • Able to work in a high pressure environment
  • Ability to work in sensitive solutions
  • Strong communication skills
  • Team player
