Join us and every day you will have the opportunity to make a meaningful impact as we grow together and make a great faculty even better.Position purpose:Reporting to the Senior Manager, Student Services, the incumbent supervises, coordinates and plans all activities related to student services and school operations while ensuring the efficient running of the academic office of the Faculty of Health Sciences. Develops, plans and executes strategies to ensure student-friendly processes and activities.This is a full-time temporary assignment or contract until September 30th, 2025.In this role, your responsibilities will include:Acts as an expert and provides guidance in the interpretation and application of university regulations and programs, in the development of strategies, procedures and internal processes that maximize the effectiveness and efficiency of the office for all staff under his/her supervision.Acts as an expert and adviser on procedures and processes related to academic progression, retention and the implementation of mechanisms to ensure the quality of services and the satisfaction of the Faculty’s students.Develop strategies and programs to increase enrolment and retention rates, and raise the profile of the University, its programs and services.Implement standardized processes required for admissions, scholarship offers, updating of admissions files and equivalencies; curriculum changes, course selections; scheduling of courses and exams, exam conflicts; entry of final grades; exchange programs; list corrections and production of statistics required for proper planning of course offerings and course enrollments, etc…Prepare reports of varying complexity as requested by the Manager of Academic Progress and/or the Dean’s Office to assist in planning and decision-making; collate, analyze and summarize requested data.Ensure that all communications with students (e-mails, letters, mass e-mails, Internet, etc.) are accurate and of the highest quality. Establish and maintain working relationships between the Faculty Development and Communications Office to ensure accuracy of data in various mediums.Responsible for hiring and supervising staff under his/her responsibility in accordance with university policies: performance management, resource planning, setting team objectives as well as establishing their development and training plans. Ensures the accountability of team members in the performance of their duties, with the aim of achieving and maintaining high quality standards for the work produced by the office.What you will bring:In-depth knowledge of school programs at secondary, college, undergraduate and graduate levels (structures, curriculum, regulations).Knowledge of management principles normally acquired through university studies and 5 years equivalent experience.In-depth knowledge of faculty and university regulations.Experience in project and priority management.Experience in analyzing academic files and in interpreting, communicating and applying university regulations and procedures.Experience in problem solvingExperience in research, analysis and production of statistical data and reportsExperience in human resources, team and conflict management.Experience in customer service in an academic support relationship.Ability to work under pressure and organize teamwork around strict deadlines (strong organizational skills).Very strong skills in the use of the University’s computerized systems and the software required to perform duties.Rigorous reasoning and critical analysis skills.Leadership and interpersonal skills.Bilingualism (French and English) – oral and written expression.Key Competencies at uOttawa:
