The Clerical Supervisor will support the Manager in promoting a positive work environment and will support the enhancement of Medical Imaging operations by overseeing the daily operations of the medical imaging clerical staff, ensuring efficient workflow and accurate scheduling of patient appointments. The role involves close collaboration with the Medical Imaging Clerical Manager to improve service delivery and ensure compliance with departmental policies and privacy standards.Responsibilities include:

  • Participating in software testing (such as Cerner, Novari, Ocean, Avaya etc.),
  • Contributing to staff recruitment and training,
  • Timekeeping
  • Supervising referral processing,
  • Liaise between various technical groups, such as the vendor and PACS team, to identify issues related to clerical operations (for example, if a function within Novari or Cerner is not working it must be identified to the respective vendor and/or informatics team)
  • First line of resolution for staff questions and concerns, maintaining communication with clinical staff to ensure timely and effective patient care, and assisting the MI Manager by monitoring daily shift and assigned work completion for accurate job performance assessments.

On a practical level, you will

  • Strategically plan and oversee daily activities to ensure quality patient care outcomes.
  • Provide ongoing developmental and operational support for quality improvement initiatives and imaging operations.
  • Coordination and supervision of clerical staff.
  • Work with MI Manager to set disciplinary measures when necessary, ensuring fair and consistent enforcement of policies and procedures.
  • Develop and monitor clerical staff requirements to meet operational needs.
  • Handle the day-to-day operation of clerical scheduling and staffing of the department.
  • Work with MI Unit Secretary to create and update clerical vacation calendars; work with Manager to authorize vacation and unpaid leaves in line with hospital and department policies.
  • Foster effective and timely communication between clerical staff, Radiologists, and Managers.
  • Conduct clerical huddles at each campus to engage staff and address concerns.
  • Develop a master schedule for clerical staffing resources.
  • Review and collaborate on scheduling guidelines with the Manager as needed.
  • Collaborate with Managers and Charge Technologists to improve workflows using clerical software such as Novari, Cerner and Ocean.
  • Provide valuable input into the recruitment, orientation, and training of administrative team.
  • Engage staff in customer service delivery initiatives.
  • Participate in Hospital committees and departmental management meetings where applicable.
  • Maintain a safe working environment by addressing or reporting significant potential risk issues/trends, such as unsafe equipment or staff/resources issues.
  • Ensure that departmental administrative support and image management equipment is properly maintained, serviced, and remains in good working order.
  • Track daily staff performance metrics that include monitoring the number of appointments booked and work with the Medical Imaging Manager to analyze the metrics.
  • Maintain accurate records of staff attendance and performance through documentation.

Qualifications

  • Post-secondary education in medical office administration, or approved equivalent combination of education and experience.
  • Minimum 1 year of leadership or supervisory experience is an asset.
  • Demonstrated familiarity with relevant hospital policies and procedures.
  • Experience working in a unionized hospital setting, preferably in Medical Imaging, including basic knowledge of medical terminology.
  • Experience with project coordination including process improvement/workflow projects, such as software testing is an asset.
  • Proficiency in Microsoft Office and essential computer programs such as Cerner, Sectra PACS, Novari, Ocean, PocketHealth, etc.
  • Comprehensive knowledge of Medical Imaging operations.
  • Strong project management skills.
  • Experience in software training and User Acceptance Testing (UAT) experience an asset.
  • Exceptional organizational, prioritization, problem-solving, and time management skills.
  • Ability to maintain productivity in the face of distractions and interruptions.
  • Commitment to ongoing professional development.
