The administrative team is a key contributor to the success of our academic and research programs by providing outstanding customer service and administrative support to department members.About the RoleThe Undergraduate Program Assistant is a key member of our administrative team. This role serves as first point of contact for general undergraduate inquiries and provides administrative support for undergraduate courses, scholarships and related activities. It also provides general office support to the Department.This position works closely with the Undergraduate Advisor, Undergraduate Curriculum Committee and the Manager, Academic and Administrative Services. As part of an academic department, the Assistant can see first-hand how their efforts contribute to the success of our students and faculty.QualificationsHigh school graduation and general course or training of moderate duration (one semester equivalent) word processing, spreadsheet and database applications and in office practices. 2 years of experience. An equivalent combination of formal education, certificate/program of study and experience is acceptable.

  • Good knowledge of standard office practices, procedures and equipment.
  • Good knowledge of university programs, policies and procedures.
  • Excellent interpersonal, customer service and communication (oral and written) skills.
  • Excellent analytical reasoning, problem-solving and organizational skills.
  • Ability to exercise mature judgment and initiative.
  • Ability to handle confidential and sensitive material with discretion.
  • Ability to work independently and meet deadlines.
  • Ability to follow oral and written instructions
  • Ability to perform arithmetic calculations with a high degree of accuracy
  • Ability to use standard office applications (e.g., Microsoft Word, Excel, FileMaker Pro, SurveyMonkey) at an intermediate level.
  • Ability to use enterprise level information systems (e.g., SIMS, eTRACS, GA3, or equivalent) at an intermediate level.
  • Ability to use standard web content editing applications (e.g., AEM) at a basic level.
  • Ability to record and transcribe meeting minutes with a high degree of accuracy.
  • 60 wpm keyboarding skill with a high degree of accuracy.
